Event general conditions

1. Holding a date:
No date may be held without payment of $1500.

This holding amount will secure your date and will be refunded within 14 days of the time of making the booking, there after the amount is not refundable.

2. Deposit & payment (of all known costs):
To book your wedding a signed acceptance of this agreement is required and must be faxed to the hotel along with payment of your deposit.

A deposit/payment equal to $1,500 or 15% of the total amount of the estimated costs, which ever is the greater, is required to be paid within 14 days from the date of this agreement.

No event is considered booked or confirmed until the deposit and the signed form is received by the hotel. From the first date of the deposit to 1 month prior to the event, equal amounts owed must be paid on a monthly basis over the period to the event.

i.e. Number of people x per head cost, less the deposit paid, then divide the outstanding amount by the months left to 1 month prior to your event, and pay the same amount each month by the last day of each new month.

The hotel reserves the right at any time, if payments are not made to schedule, to cancel the wedding date. Credit card details may be left with the hotel to ensure monthly payments are made on time.

All payments made by credit card will incur a surcharge: Visa & MasterCard 2% & AMX 3.5%.

3. Final payment
Full payment equal to 100% of the total amount owed is to be paid in full 30 days from the event.

The hotel reserves the right to cancel the booking if the final payment is not paid pursuant to this agreement. If final payment is not received in advance, the wedding will not proceed.

A credit card must be held by the hotel for any unknown costs on the night.

4. Cancellation or deferral of wedding:

  1. Cancellation of the wedding within the first 30 days of making the booking for the event is fully refundable.
  2. Cancellation after 30 days of making the booking will result in full loss of all monies paid to date.
  3. Deferral of the wedding date, within the first 6 months of the making the booking, to another date within the same calendar year will result in no monies being lost and full credit balance being transferred to the new date.
  4. Deferral of the wedding date, not under 6 months from the date of the event, will result in 50% loss of all monies paid.

5. Wedding details:
The client shall advise the hotel of its final wedding requirements including but not limited to: rooming lists, wedding room layout and table arrangements, set-up and catering numbers and requirements not later than 28 days prior to the arrival date.

6. Clients general responsibilities:
The client shall remain responsible at all times for:

  1. Loss or damage to the property of the hotel caused by the client, its guests and invitees.
  2. Insurance of its own property and the property of its guests and invitees.
  3. The client is financially responsible and agrees to indemnify Chara Gerringong p/l trading as Bellachara Gerringong for all damage sustained to the hotel and its grounds during a wedding as an action of invitees and or guests of the organiser. This also applies to any damage caused during the wedding staying overnight at the hotel. Although accidents often happen, damage to our wedding rooms can easily be prevented by good communication between you and our team when arranging decorations. If necessary, repair or replacement charges may be passed on to you if approval has not been sought. Staples, sticky or masking tape, glues, pins, or Velcro are not permitted on our walls.

7. Other conditions:

  1. The client, their guests and invitees shall not be permitted to bring beverages of any kind whatsoever onto the hotel premises.
  2. The client, their guests and invitees shall comply with the reasonable requirements of the hotel and shall conduct its wedding and associated weddings in an orderly and responsible manner and in compliance with all applicable laws.
  3. The hotel reserves the right to exclude or remove from the wedding rooms or the hotel premises any and all undesirable persons without liability.
  4. The responsible service of alcohol will be conducted in accordance with the hotel’s house policies and the liquor act 2001.

8. Check-out time:
All guests shall vacate their rooms by 11am on the morning of departure otherwise late check-out charges may apply. The late check out charge is $75 from 11am till 3pm and full rate there after.

9. Room assignment
If the room or rooms reserved herein cannot be made available to the client for causes beyond the normal control of the hotel, the hotel reserves the right to substitute similar or comparable accommodation for the wedding, which substitute shall be deemed by the client as full performance of the hotels obligations under the agreement. This applies to accommodation, meeting and function rooms. Please note that wedding space reserved during the day is subject to re letting to other clients for other evening weddings, unless alternate arrangements have been made.

10. Extended hours & surcharges
We are happy to extend the hours of your wedding to 11pm on weekends and 10pm on weekdays as long as the noise is minimal and is contained within the wedding space. Additionally you and your guests must not make excessive noise in the wedding space or when returning to the accommodation rooms. By law we are not allowed to make noise past 10pm that will impact negatively on our guests within the hotel or our neighbours in Gerringong. To extend the hours of your wedding package, a fixed staff cost of $150 per hour plus a fixed $5 per hour per guest for beverages, plus any fines imposed on the hotel by any divisions of the law.

A surcharge of 15% will be charged for weddings held on public holidays.
